Under the Hood: Tracking Human Resources in Salesforce

This is part of an occasional series on how we, as Salesforce consultants, use Salesforce ourselves. We haven’t quite figured out how to use it to clean our office refrigerator but when we do, we’ll write a blog post about it to let you know. Today’s post comes from our Business Operations Coordinator, Sarah Lyman.

Without the proper system in place, tracking applicants, interviewees, new hires, and even off-boarding can be a daunting task. Not to mention all the duties and policies that are necessary for a company to manage internal collaboration. With the use of web-to-lead, Employee Manager, and a custom built app we have been able to track this process from start to finish all while capturing changes in real-time. Here’s how.

Job Posts

Like many companies, available jobs can be found on our Careers Page on our website, along with an application form. That application form is a Salesforce web-to-lead form that collects information we need to evaluate the applicant, such as compensation requirement, LinkedIn profile URL, and contact information, then pushes it into our database. Our human resources department is alerted and sorts through the applicant leads, converting applicants we’d like to interview.

Hiring

Once the interviews are complete and the applicant has been chosen, we start our hiring process. This is where the Employee Manager app comes into play. As I’m sure you’ve experienced, there are quite a few documents that are required when you first start with a company. Much of this information is sensitive and needs to be stored in a secure location. Using Salesforce permissions you can give specific users access to the Employee Manager app and you’ll be able to securely store all of the sensitive documents in the employee record. The “out of the box” option has quite a bit of functionality, but just like your instance of Salesforce, the Employee Manager can be customized to better fit your organization’s needs. Before downloading you can take a test drive in their sandbox instance to see for yourself!

On-boarding and Training

As anyone who’s worked on a team knows, clearly-defined duties and policies are vital to on-boarding and collaborative work. They need to be stored in a place where they can be readily available to the entire team, organized and searchable. With the help of our developers we’ve build a custom application, allowing for all of these necessities so that we can track department, task (such as booking conference travel), and description. With one quick search we have access to whichever duty or policy needs to be accessed. 

Human Resources is a huge part of any company and with the help of  Salesforce (and our wonderful developers of course) we’ve been able to build a system the meets our company needs and requirements, and as we manage our rapid growth this becomes more important each day.
